Identify three points rather than one station icon

Before travelling, save the full arrival station, exact accommodation address, and actual entrance. A booking platform often supplies only a pin. An apartment's agreed entrance may be in another street or require a prior key handover. That should come from the provider's message rather than a guess outside the building.

Add the appropriate local stop and direction if travelling onwards. The city name alone is insufficient. The chosen station exit can substantially change the final walk. Compare the station plan with the route shown by the journey planner.

Berlin Hauptbahnhof illustrates the distinction. Its official plan shows several levels and exits including Europaplatz and Washingtonplatz. It supports orientation rather than guaranteeing your arrival platform. Read the live information first, then connect level, exit, and onward route.

Assess the walk with luggage

A map's walking estimate does not necessarily describe arrival carrying cases. Examine major crossings, stairs, and the final approach. If one person cannot comfortably carry heavy bags, a slightly longer route with fewer steps may suit better than the shortest line.

At a large station, examine lifts and current availability. A symbol on a saved map is not live disruption information. Identify a usable alternative. An escalator is not a universal answer for every traveller and bag.

Divide tasks so both people are not searching the same map while holding luggage outside. One can navigate while the other watches access or check-in messages. Both should still retain the address and fallback contact. A single exhausted phone should not hold the only accommodation instructions.

Before check-in is a different arrival scenario

Arriving before confirmed room access requires a luggage arrangement. Early arrival does not establish early check-in. Ask whether bags can be left, exactly where, and during which hours. An unstaffed apartment does not provide the same possibilities as a reception desk.

Station lockers can offer an alternative. Official Berlin Hauptbahnhof information, for example, lists facilities and directs users to on-site conditions. Check dimensions, payment, and allowed storage duration. A published locker count is not a reservation of an empty compartment for your arrival.

Compare both journeys: station to accommodation and later return to the bags. Apparently convenient storage may create another detour. An initial city section near the actual storage point can work better than a distant destination with two cases.

If using commercial storage, distinguish its operating hours from the opening of the building around it. Plan collection before the onward commitment. Do not assume evening access merely because the location is inside a busy station or shopping area.

Respond to a later arrival

Delay affects more than dinner. It can change a key handover or final local connection. Tell the accommodation what is happening and establish the actual access available. A general late-arrival form field is not the same as a confirmed solution.

Search the later journey through to the address, not merely the city centre. For an alternative, establish pickup point and cost before relying on it. A taxi or ride icon on a map does not confirm an available vehicle.

After arriving, clarify the reverse journey: which entrance works early, how keys are returned, and how to reach the correct stop. The same final leg then does not become another unresolved question at departure.

Keep these instructions together with the address instead of burying them in a long booking thread. The useful arrival record is small: actual destination, agreed access, local journey, and a contact if that arrangement changes.
